1. General Provisions

1.1. This Privacy Policy defines the rules for processing and protecting the personal data of Users using the website dedicated to the event XXIV International Congress of Aesthetic Medicine and Anti-Aging, to be held on October 2–4, 2026.

1.2. The controller of personal data is the Polish Society of Aesthetic Medicine and Anti-Aging, seated in Warsaw (address: ul. Ludna 2/103, 00-406 Warsaw), registered in the National Court Register under KRS number: 0000357150, NIP: 7010236972, REGON: 142421711.

1.3. Personal data are processed in accordance with applicable law, including Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR) of April 27, 2016.

2. Scope and Purpose of Data Collection

2.1. Personal data of Users are collected for the purpose of:

• registration and management of participation in the Congress,
• processing payments (if applicable),
• issuing certificates of participation,
• contact in organizational and informational matters related to the Congress,
• sending promotional and marketing information (with the User’s consent).

2.2. The following data may be processed: first name, last name, email address, phone number, professional data, invoice data, and other data voluntarily provided by the User in contact or registration forms.

3. Legal Basis for Data Processing

3.1. Personal data are processed on the basis of:

• Art. 6(1)(b) GDPR – necessity for the performance of a contract (participation in the event),
• Art. 6(1)(c) GDPR – legal obligation (e.g. issuing an invoice),
• Art. 6(1)(a) GDPR – consent of the data subject (e.g. marketing consent),
• Art. 6(1)(f) GDPR – legitimate interests of the Controller (e.g. pursuing claims).

4. Sharing of Data

4.1. Personal data may be shared exclusively with entities cooperating with the Polish Society of Aesthetic Medicine and Anti-Aging in the scope of services necessary for the organization of the event, in particular IT companies, payment operators, accounting firms and technology partners.

4.2. Data will not be transferred outside the European Economic Area (EEA), unless necessary and an adequate level of data protection is ensured.

5. Data Retention Period

5.1. Personal data will be stored for the period necessary to achieve the purposes of processing, i.e.:

• for the time necessary to carry out the event and fulfil accounting and tax obligations,
• until consent is withdrawn in the case of data processed on the basis of consent,
• for the period of pursuing claims (maximum 6 years from the end of the event).

6. Rights of Data Subjects

6.1. The User has the right to:

• access their personal data,
• rectification, erasure or restriction of processing,
• object to the processing of data,
• data portability,
• withdraw consent at any time (without affecting the lawfulness of processing carried out before its withdrawal),
• lodge a complaint with the President of the Personal Data Protection Office.

7. Cookies

7.1. The website may use cookies for statistical, functional and marketing purposes.

7.2. The User may change their browser settings regarding cookies or disable them entirely at any time.

8. Security

8.1. The Polish Society of Aesthetic Medicine and Anti-Aging applies appropriate technical and organizational measures to protect personal data against loss, unauthorized access, modification or disclosure.
